  13. Conditions of hire
    1. It is the responsibility of the hiring organisation to ensure that the facility is suitable for the activities requested (e.g. Height, length, area, access etc. ) and that all necessary permissions and licences associated with the event/s have been obtained and are complied with and that evidence of the same can be provided to West Dorset District Council (WDDC) upon request.
      The Sports Development Unit (SDU) must receive the ‘Booking Application Form’ at least 3 weeks before the event date. If a form is not received, it will be assumed that the booking is not taking place and the SDU staff and resources will not attend. All invoices will be sent after the booking. If you require us to include a purchase order reference number on the invoice, please ensure you send this to us before the end of the month in which the booking is taking place. If, due to whatever circumstances, the booking is cancelled by the hiring organisation with less than 4 days notice, they will be liable for the full cost of the session. However, if the cancellation is due to weather conditions that make it impossible for the activities to take place then we will waive up to 50% or £100 of the hire fee (whichever is the smaller amount).
      Safety is the main concern of the SDU, both that of staff and participants, so if this is compromised the activity will cease. The SDU reserves the right to not start, or stop an activity if, in their opinion, the activity is likely to become unsafe. In this instance the leader will be informed and the hiring organisation will be invoiced for the full amount of the booking.
      Organisations hiring the SDU for activities for children will be asked to provide WDDC with a copy of their arrangements for ensuring the care, wellbeing and safety of children during their hiring/ use of facilities. This may take the form of their own child protection policy and procedures or those of their governing body (the terms of the policy/procedures to be satisfactory to WDDC) or their formal commitment to WDDC’s own procedures. This will, also, include evidence of enhanced Disclosure and Barring Service check (within the previous three years) of all those involved during the hiring/use of facilities who have significant contact with children. The hiring organisation will provide this on a six monthly basis or when requested to do so by WDDC.
      The Sports Development and Action Van service is provided by WDDC and covered by WDDC’s insurance policy, but the organisation must ensure that the facilities’ own insurance covers the requested activities.
      The hiring organisation is responsible for providing first aid cover and they must ensure the WDDC staff are made aware of any medical conditions of the participants that may limit their ability to take part in activities, or may be made worse by certain activities. Hiring organisations must make WDDC staff aware of any emergency procedures in place at the venue.
      If participants damage any equipment due to improper use, then the hirer shall be responsible for the cost of replacing the same. The hiring organisation must not assume that a variety of alternative activities will be available at the event unless this is specified on the booking form.
      By signing the booking form, it is understood that you have read and agreed to comply with all the above conditions.
